6 Best Documentation Platforms for Small Teams

Intro

For a team of two to ten people, a docs tool needs to look professional, fit a modest budget, and make updates easy. The challenge is finding one that includes the features you need without charging for a larger team.

We compared six options: Jamdesk, Mintlify, GitBook, ReadMe, Archbee, and Docusaurus. For a small engineering team that wants hosted docs with AI features, Jamdesk is our pick. It costs $29 a month with unlimited team members, reader AI chat, and built-in analytics.

That doesn't make it the right answer for everyone. Mintlify's free plan is hard to argue with if you don't need AI. ReadMe wins for API-first products. Docusaurus is a good free option if someone on your team can maintain the site.

How We Compared

We compared pricing and feature availability for a five-person team and measured initial server response times on each platform’s public docs site.

  1. Five-person cost: We priced one docs site, five editors, and a custom domain using each vendor's public pricing page, checked September 29, 2026. Where a feature a small team commonly needs (AI answers, subpath hosting, analytics) required an upgrade, we priced that upgrade too.
  2. Feature placement: For each vendor, we recorded which plan unlocks AI chat, analytics, password protection, branding removal, and SSO. A feature that exists only on a $450 plan isn't much use to a team with a $50 budget.
  3. Page response time: We requested each vendor's own public docs homepage seven times with curl from a single US connection on September 29, 2026, and recorded time to first byte. We used the vendors' own docs because each one runs on its own product.

These response-time measurements are a small sample from one US connection. They measure time to first byte, not full page-load speed, and the sites differ in content and configuration. Treat them as a snapshot, not a platform ranking.

1. Jamdesk: Best for Small Teams That Want Git and Included AI

Jamdesk builds your docs site from MDX files in a Git repo. Push a commit and the site rebuilds. If your team already reviews changes in pull requests, the publishing workflow is one you already know.

Cost for five people: $29 a month, or $24 a month billed annually. Team members are unlimited on the single paid plan, so adding a team member doesn't change the bill. A second docs site adds $15 a month. There's a 14-day trial with every feature on (Jamdesk pricing).

The $29 plan includes AI chat for readers with no credit meter, a built-in analytics dashboard, custom domain with SSL, site and page password protection, JWT sign-in, PDF export, branding removal, and automatic translation. SSO/SAML and regional data hosting are Enterprise only.

For writers, "Fix with AI" repairs broken links and typos, and each build gets a score that flags pages needing attention. Engineers preview locally with jamdesk dev. Everyone else can use the web editor with live preview and commit to GitHub without touching a terminal.

Jamdesk is also built for docs that AI tools read. Every site serves llms.txt, raw Markdown at .md URLs, and a built-in MCP server, so Claude, Cursor, and similar tools can search your docs directly.

Response time: median 99 ms, in the middle of our test products.

Jamdesk is newer than Mintlify or Docusaurus, so there are fewer community themes and fewer forum answers when you get stuck. And because content is MDX, a non-technical writer may find it less approachable than a block editor like GitBook's or Archbee's.

Verdict: If you want docs in Git and a flat bill that already covers AI, try this one first.

2. Mintlify: Best Free Plan and Default Design

Mintlify's default theme is polished out of the box, and its API reference pages are some of the best-looking around. Like Jamdesk, content lives in Git as MDX, so the two feel similar to work in.

Cost for five people: $0. The free Starter plan includes five editor seats, a custom domain, and password protection. That covers a lot of small teams.

Starter has no AI assistant and no analytics. Both start on Pro, which removes the seat cap and costs $450 a month billed annually, or $540 month to month (Mintlify pricing). AI answers on Pro draw from monthly credits, at 25 credits per answer. SSO and branding removal are Enterprise only.

The main drawback is the jump from a free plan to hundreds of dollars a month when you need AI or analytics.

Verdict: Start here if you don't need AI or analytics. If you think you'll need either within a year, price the jump to Pro before you commit.

3. GitBook: Best Editor for Mixed Teams

GitBook's block editor is still the easiest in this group for people who don't write code. Product managers and support staff can open a page and start typing. Git Sync gives engineers a Markdown copy in a repo.

Cost for five people: GitBook charges per site and per user. Premium is $65 per site per month plus $12 per user, both on annual billing, so $125 a month for five people. Premium includes AI search. Ultimate adds the AI Assistant, with 500 successful answers included. Subpath hosting (docs at yourcompany.com/docs) requires Ultimate, at $249 per site plus user fees: $309 a month (GitBook pricing).

Every additional site adds another site fee, and every new writer adds $12. Small teams feel that most as they grow.

Response time: median 128 ms.

In our AI world, if you are bought into agentic workflows, then a MDX-first solution is probably a better fit.

Verdict: A good fit if most of your writers aren't engineers and the per-seat math works for you. Watch the bill as the team grows.

4. ReadMe: Best for API-First Products

ReadMe's standout feature is personalized API docs. Logged-in developers see their own API keys in code samples and their recent request logs next to the reference. When a call fails, they have what they need to debug it before opening a ticket.

Cost for five people: the free Starter plan allows one admin. Pro is $250 a month billed annually and includes five admins, with more at $20 each. Pro includes Ask AI Lite. The separate Ask AI add-on costs $150 a month, bringing Pro with that add-on to $400 a month (ReadMe pricing). Branding removal and SSO are Enterprise only.

Response time: median 35 ms, the fastest hosted platform we measured.

Verdict: Worth the money if your API reference is the main reason people visit your docs and the personalized pages will cut support load. For guide-heavy docs, it's a lot to pay.

5. Archbee: An Alternative for Teams That Prefer a Visual Editor

Archbee's block editor is the closest thing to GitBook in this group, with callouts, tabs, and code blocks available without learning Markdown. It also offers GitHub sync for engineers who'd rather work in files.

Archbee lists Growing from $80 a month and Scaling from $350 a month, with team members billed separately. Those starting prices are not confirmed totals for five editors. There’s a 14-day trial, but no free plan (Archbee pricing).

Versioning, search analytics, and full branding control all sit on Scaling. The pricing page doesn't list AI answers on either self-serve plan, and AI features are sold as add-ons with their own token allowances.

Response time: median 127 ms.

Verdict: A solid pick if support or product people write most of your docs. If you need versioning or analytics, budget for Scaling.

6. Docusaurus: Best Free, Open-Source Option

Docusaurus is Meta's open-source docs generator. It's built on React, uses MDX, and is MIT-licensed. You build and host it yourself, which means you own every piece of it.

Cost for five people: $0 for the software. Hosting can be free on many static hosts. The real cost is engineering time: setup, upgrades, and fixing the build when it breaks.

Versioning and translations are built in. Search needs Algolia DocSearch or a plugin, analytics needs a separate integration, and there's no built-in AI chat or web editor.

Which One Should You Pick?

Pick Jamdesk if you're a small engineering team that wants hosted docs, AI features, and a bill that doesn't grow with headcount.

Pick Mintlify Starter if you don't need AI or analytics and want $0. Pick ReadMe if your API reference is the product. Pick GitBook or Archbee if non-engineers write most of your docs. Pick Docusaurus if you have an engineer who wants to own the whole stack.

Before you switch, try moving ten representative pages into your top two choices. Include tabs, embeds, API references, and cross-links. Check what survives the import, how easy updates are, and whether you can export the content again.
